Lost equipment and inaccurate medical inventory lists often lead to drastically higher hospital expenditures — including asset underutilization, equipment that could be sold or transferred in-network, and sometimes extra expenses from unused service contracts.
Many hospitals use tools that are simply insufficient and leave a broken picture of their equipment. Our inventory management offerings provide a complete view of all existing inventory. This enables effective future planning and ensures valuable equipment never gets lost.
The Helix tech suite is designed to maintain an accurate inventory list without wasting time or energy. It can pave the way to an optimized capital management strategy.
Smart health systems can supplement these tools even further with inventory services that reset your records and create a fresh start. BidMed’s services include inventory processing, reconciliation + accuracy reports, and data cleaning.
Here are three ways we can get your medical inventory list back on track.
1. Complete Inventory Processing
Comprehensive inventory services include a team of BidMed specialists at your location(s). We assess all existing assets — in use and in storage.
Using our proprietary app, our specialists tag, scan, photograph, and document details (make, model, description, location, and more) for all equipment. This data then uploads to our cloud database to be further cleaned, edited, and managed.
Clients then have access to this inventory through a CSV database export or within Helix’s Workflow+ subscription. Workflow+ enables health systems to manage their inventory online, while also providing easy access to buy, sell, and transfer equipment. Inaccurate medical inventory lists can become a thing of the past.
2. Inventory Assessment + Reconciliation
Healthcare facilities with an existing equipment list of questionable accuracy can benefit from our Inventory Reconciliation services.
As with comprehensive inventory services, our team of BidMed specialists arrives on-site to tag, scan, photograph, and document details for all assets present.
This data is then compared to your existing database, and an Inventory Accuracy Report is provided. The report includes:
Verified Assets | equipment on the original list and verified on-site
Unverified Assets | equipment on the original list and not found on-site
New Adds | equipment found on-site but not on the original list
Changes to information during the data cleaning process are also tracked, helping verify if certain assets were available but had inaccurate information.
These details, as well as access to the finalized database, are provided as a CSV export and in the Workflow+ platform with a paid subscription.
3. Clean Inaccurate Inventory Data & Standardize Nomenclature
Helix Mobile and Workflow+ include autocomplete features with more than 30,000 unique combinations of equipment make + model. This helps create consistency across the board, resulting in the most accurate inventory records possible.
Using autocomplete not only reduces time spent during inventory processing, it also helps eliminate spelling errors or other inconsistencies that make a database difficult to search.
While we ensure accuracy and consistency for all databases validated by BidMed’s teams, we also offer data cleaning. This additional service is great for customers who have processed their own inventory.
If you frequently find errors or inconsistencies in your data, our specialists can help assess and standardize comprehensive records. Whether you need an existing inventory standardized (CSV file required), or are self-processing inventory using the Helix Mobile app, please contact us for a customized quote.
Keeping Your Records Complete
Once trusted, it’s essential to keep your data clean. Workflow+ is a great tool to maintain your equipment list. It seamlessly connects stakeholders, automates optimized equipment workflows, and connects directly to our internal transfer tool on the Private Exchange, helping retain value within your system.
